Your Impact at SAM

The Executive Assistant serves as an assistant to Executive staff. This role is responsible for completing a variety of tasks that include providing management support by handling information requests, preparing correspondence and daily coordination of calendars, meetings and events. This role is responsible for maintaining a high level of confidentiality, sound judgement to assess business needs, personal and professional integrity at all times and requires exceptional communication and interpersonal skills.

  • Serve as liaison between Executive staff and office staff
  • Schedule management including coordinating Executives' schedules by planning and scheduling meetings, conferences, video conferences and teleconferences and helping to ensure that deadlines are met
  • Maintain confidentiality and uses good judgement when interacting throughout all levels of the organization and on behalf of the Executive staff
  • Read and analyze documents, agendas, reports and determine significance routing to appropriate personnel in a timely and efficient manner
  • Develop and utilize current and historical information as needed to provide to the Executive staff
  • Prepare and revise complex presentations, reports and documents by collecting and analyzing information including preparing documents for senior management meetings
  • Complete projects as assigned, following up on results
  • Compose professional written communication on behalf of Executives
  • Coordinate travel arrangements and expense reporting for the Executive staff
  • Manage internal processes and systems as assigned
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Contribute to Administrative team efforts as needed, including but not limited to, assisting with employee events, meeting setup, general administrative support, phone coverage when needed and other duties as assigned
  • May serve as a notary
  • Perform other tasks as assigned to help accomplish the Company's strategic goals

What You Bring to SAM

  • 5+ years of experience as an Executive Assistant or 7+ years general administrative experience
  • Advanced knowledge of Microsoft Outlook, PowerPoint, Excel and Word
  • 4-year degree is preferred, but not required
  • Experience with Concur Travel and Expense, preferred but not required
  • Superior communication (oral and written), presentation, organization, time management, travel logistics, multi-tasking and problem-solving skills
  • Longevity in previous positions
  • Ability to work overtime as business necessitates
  • Ability to work independently as well as collaboratively
  • Ability to maintain privacy and confidentiality
  • Ability to sit for long periods of time
